We are seeking a professional, highly organized Remote Receptionist who thrives in a fast-paced environment and excels at proactive communication . This role is critical in shaping the client experience—serving as the first point of contact while ensuring nothing falls through the cracks.
Key Responsibilities:
Answer and manage incoming calls with professionalism and warmth
Proactively follow up with clients regarding missing documents, appointment confirmations, and next steps
Route client inquiries to the appropriate team members and ensure timely follow-up
Track client communications and maintain accurate records in firm systems
Assist with managing client portals and document flow
Support the team with administrative tasks and workflow coordination

Someone who follows up without being asked and keeps both clients and team members informed
Highly organized with excellent attention to detail
Friendly, professional demeanor with a client-first mindset
Ability to manage multiple priorities and stay calm under pressure
Tech-savvy and comfortable working in a fully remote environment
Qualifications:
1+ years of receptionist, administrative, or client service experience (tax or accounting firm experience preferred)
Excellent verbal and written communication skills
Experience with scheduling tools, email management
Reliable internet connection and a dedicated workspace
