ABOUT JOB

 

We are seeking a dynamic and highly organized Administrative Assistant to join team, our small, family-owned promotional products company. In this vital role, you will help manage the day-to-day flow of client orders and communications, ensuring everything runs smoothly from order placement to delivery.

Your attention to detail, responsiveness, and positive attitude will play a key role in creating a seamless experience for our clients. This is a paid position offering an opportunity to grow within a collaborative, fast-paced, and client-focused environment. The ideal candidate is proactive, tech-savvy, and enjoys working closely with both clients and a small team.

Duties

  • Process and manage customer orders from start to finish with accuracy and efficiency
  • Communicate with clients regarding order details, proofs, approvals, and updates
  • Track orders through production and delivery to ensure deadlines are met
  • Coordinate with vendors and suppliers to confirm product details and timelines
  • Maintain organized digital records of orders, invoices, and communications
  • Assist in resolving order issues or delays in a professional and timely manner
  • Monitor email communications and respond promptly to client inquiries
  • Perform data entry, proofread order details, and support administrative tasks
  • Assist with general office organization and workflow management
  • Support additional administrative projects that improve efficiency and client experience

Experience

  • Prior administrative, order processing, or customer service experience preferred
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and Google Workspace
  • Excellent organizational skills with the ability to manage multiple orders and deadlines
  • Strong written and verbal communication skills with a client-friendly approach
  • High attention to detail, especially with order accuracy and timelines
  • Ability to work in a fast-paced, small business environment and wear multiple hats
  • Experience in promotional products, retail, e-commerce, or vendor coordination is a plus
  • Familiarity with QuickBooks or similar systems is helpful but not required

Pay: From $20.00 per hour
