Job Description

JOB SUMMARY

 

Are you organised, tech-savvy, and ready to support a small busy team? Our client  is looking for a Personal Assistant / Administrator to join our team on a flexible work-from-home basis (approximately 38-40 hours per week)

Must be based in Adelaide, as occasional meetings will be required.


Key Responsibilities

Administration & Accounts

  • Processing weekly payroll through Xero (experience required)
  • Issuing invoices for completed jobs via our scheduling system
  • Paying weekly supplier invoices and processing bills
  • Following up overdue invoices through Xero
  • Ensuring business insurances and vehicle registrations are kept up to date
  • Assisting with basic bookkeeping tasks such as uploading receipts into Xero

Customer & Operations Support

  • Responding to more complex customer service email enquiries
  • Answering incoming phone calls when required
  • Liaising with customers and crew regarding scheduled jobs
  • Scheduling quote appointments for the estimator

Personal Assistant Duties

  • Managing and responding to emails efficiently
  • Booking appointments and managing the director’s calendar
  • Supporting the director with general enquiries and ad-hoc tasks
  • Assisting with administration relating to investment properties

About You

The ideal candidate will have:

  • Strong computer skills and experience using Xero
  • Previous administration or personal assistant experience
  • Excellent organisation and attention to detail
  • Strong customer service and communication skills
  • Ability to work independently and manage multiple tasks
