ABOUT JOB

 

We are seeking a detail-oriented, dependable, and self-motivated Administrative Assistant / Personal Secretary to support both our day-to-day business operations and a separate personal book marketing project. This is a remote position offering flexible hours and the opportunity to grow with a busy, dynamic small business.

Compensation & Schedule

  • Pay Rate: $20.00 – $25.00 per hour, commensurate with experience
  • Hours: 35–40 hours per week
  • Location: Remote

Office & Business Administration

  • Answer and direct incoming phone calls, emails, and client inquiries in a professional manner
  • Maintain and organize digital and physical filing systems, contracts, and project documents
  • Assist with light bookkeeping tasks including invoicing and basic expense tracking
  • Prepare correspondence, proposals, and reports using Microsoft Word and Excel
  • Follow up on outstanding items with clients and vendors as directed
  • Order office supplies and manage general administrative needs as they arise

Personal Assistant / Book Marketing Support

  • Research and compile lists of literary agents, publishers, and book marketing contacts
  • Draft and send query letters and submission packages to publishers and agents on behalf of the employer
  • Track submission statuses and follow up as directed
  • Assist with any additional personal administrative tasks as needed

Requirements

  • Proficient with phone communication — comfortable handling client and vendor calls
  • Strong computer skills required; proficiency in Microsoft Word and Excel is a must
  • Basic bookkeeping ability; experience with light accounting tasks is a plus
  • Excellent written and verbal communication skills
  • Highly organized, reliable, and capable of managing multiple tasks independently
  • Comfortable working remotely with minimal supervision
  • Prior experience in administrative, secretarial, or office management roles preferred
