ABOUT JOB

 

We are seeking a highly organized and dependable Bookkeeping Operations Assistant to support our growing bookkeeping and business support firm. This role is ideal for someone interested in bookkeeping, accounting operations, administration, or business support who enjoys organization, accuracy, and process-driven work.

The position focuses on administrative support, financial document organization, bookkeeping preparation tasks, and maintaining internal workflow systems. This is an entry-level remote contractor position with opportunities for growth and expanded responsibilities over time.

The ideal candidate is detail-oriented, tech-comfortable, able to follow structured procedures, and capable of handling recurring tasks with consistency and accuracy.

Duties & Responsibilities

  • Organize and maintain digital client folders and bookkeeping records
  • Rename, sort, and organize financial statements and supporting documents
  • Maintain bookkeeping tracking spreadsheets and workflow checklists
  • Identify missing statements, date gaps, or incomplete records
  • Organize receipts, invoices, and financial documents by month and account
  • Assist with bookkeeping preparation and reconciliation support tasks
  • Categorize simple recurring transactions using provided guidelines
  • Follow up with clients regarding missing documentation using templates
  • Update internal project status trackers and client notes
  • Assist with onboarding file setup and operational organization
  • Flag discrepancies, duplicate files, or incomplete information for review
  • Support general administrative and operational tasks as needed

Qualifications

  • Strong organizational skills and attention to detail
  • Ability to follow systems, procedures, and written instructions
  • Comfortable using Google Workspace, spreadsheets, and cloud-based systems
  • Basic experience with Excel or Google Sheets preferred
  • Strong communication and time management skills
  • Ability to handle repetitive tasks accurately and efficiently
  • Dependable, responsive, and self-motivated
  • Interest in bookkeeping, accounting, business operations, or administration preferred
  • Prior experience in administrative support, data entry, bookkeeping support, or office coordination is a plus but not required
  • Familiarity with QuickBooks, Shopify, Microsoft-apps, or similar platforms is helpful but not required
