ABOUT JOB

 

We are currently seeking an experienced, highly organised and proactive professional to join our team as an Executive Assistant | Administration Support.

The Opportunity

This role provides a balanced mix of executive assistant support and finance administration, while also assisting with project support across the business.

The successful candidate will work across both executive support and finance administration responsibilities on a daily basis, making this an ideal opportunity for someone who enjoys variety and thrives in a dynamic and collaborative business environment.

We are seeking someone who is proactive, adaptable, highly organised and confident managing a varied workload, with the opportunity to take ownership and grow within the role.

Hours & Location

We are offering this role as full-time, 38 hours per week, or part-time over 5 days (approximately 30 hours per week), negotiable for the right candidate.

The position is ideally suited to someone seeking a long-term opportunity within a supportive and professional business environment, with flexibility to balance operational needs and individual circumstances.

 

Key Responsibilities

Executive Support

  • Coordinate meetings, calendars, travel arrangements and executive support tasks for a Director
  • Assist with incoming calls, emails and general enquiries
  • Prepare and distribute correspondence, reports, documents and business communications
  • Perform traditional personal assistant and executive administration duties

Administration & Finance Support

Supporting the finance and administration functions of the business, including Accounts Payable and office administration duties:

  • Process supplier invoices accurately and in a timely manner
  • Prepare and process supplier payments in line with approved schedules
  • Reconcile supplier statements and resolve discrepancies promptly
  • Maintain accurate Accounts Payable records and financial filing systems
  • Assist with month-end processes and finance reporting
  • Provide administration support across Finance and other departments

Office, Administration & Project Support

  • Assist Operations, HR, Management and Directors with project-related support
  • Coordinate documentation, filing systems and general office support functions
  • Support process improvements and system updates as required
  • Adapt to changing priorities and support broader business operations as needed

About You

We are seeking a well-presented and adaptable individual who is organised, professional and confident managing multiple responsibilities across the business, with a strong customer service mindset and the ability to work across both executive and operational support functions.

Ideally, you will have:

  • Experience in administration, office support, personal assistant or executive support roles
  • Previous exposure to Accounts Payable or finance administration
  • Strong written and verbal communication skills
  • Excellent organisational and time management skills
  • Intermediate to advanced computer literacy skills, including Microsoft Office
  • Ability to work independently and collaboratively
  • Ability to handle sensitive and confidential information with discretion
  • A proactive, adaptable and solutions-focused approach
  • Tech-savvy skills with the ability to learn new software efficiently

Desirable

  • Experience using SAP
  • Experience using accounting software or ERP systems
