ABOUT JOB
We are seeking an organized, proactive, and dependable Office Administrator . In this role, you will be the backbone of our daily operations: managing administrative processes, maintaining office systems, and providing responsive, high-quality service to our clients.
As a key member of our small team, you will contribute across multiple administrative functions to ensure a productive and welcoming work environment. This role is ideal for someone who thrives in a small professional services office, takes pride in exceptional organizational standards, and can successfully navigate the fluctuating workloads during busy tax seasons.
Key Responsibilities
Front Office & Client Relations
- First Impressions: Greet clients warmly and direct incoming phone calls with a welcoming, professional demeanor.
- Client Care: Deliver exceptional customer service, managing client inquiries and supporting long-term relationships.
- Communication: Draft, review, and manage prompt, professional email correspondence with clients, vendors, and internal staff.
Operations & Administration
- Daily Workflow: Manage incoming/outgoing mail, distribute time-sensitive documents, and maintain accurate internal records.
- Document Management: Organize, sort, and accurately scan high volumes of confidential client documents.
- Office Logistics: Track and order supplies, maintain office equipment, and coordinate internal schedules to keep the workspace efficient.
- Culture & Events: Plan and coordinate internal celebrations and team-building activities to foster a positive workplace culture.
Tech & IT Coordination
- Technical Support: Handle basic computer setups and troubleshooting for common office tools, printers, and scanners.
- IT Liaison: Serve as the primary point of contact for our external technical and IT support vendors.
Qualifications

- Adaptability: Comfortable shifting priorities on the fly and maintaining a calm, focused demeanor under pressure during busy tax seasons.
- Organization: Exceptionally detail-oriented with proven multitasking abilities.
- Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning internal software systems.
- Education: High school diploma or equivalent required
- Background Check: Must be able to successfully pass a standard professional background check and financial credit check due to the sensitive nature of client data.
