ABOUT JOB
We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently.
Responsibilities
- Greet visitors and manage front desk operations with a friendly, professional demeanor.
- Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette.
- Handle data entry, filing, and document proofreading to maintain organized records.
- Manage calendar appointments, schedule meetings, and coordinate calendar management for staff.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software.
- Support customer service efforts by providing timely assistance and support to clients and team members.
- Maintain office supplies inventory and ensure the office environment is tidy and well-organized.
- Utilize Microsoft Office Suite and Google Workspace tools for various administrative tasks.
- Perform clerical duties such as photocopying, mailing, and preparing reports as needed.
- Provide general administrative support including typing correspondence, managing emails, and supporting special projects.
Qualifications
- Proven office management or administrative experience in a fast-paced environment.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Excellent organizational skills with the ability to multitask effectively.
- Experience with multi-line phone systems, data entry, filing, and proofreading.
- Knowledge of QuickBooks or bookkeeping experience is desirable.
- Exceptional customer service skills coupled with professional phone etiquette.
- Personal assistant or medical/dental receptionist experience is advantageous but not required.
