ABOUT JOB

 

we’re looking for a highly organized, proactive, and customer-focused Office Assistant to support our operations and help ensure our customers receive seamless communication and projects runs smoothly.

This role is ideal for someone who thrives on organization, takes ownership of their work, and enjoys being at the center of coordinating people, projects, and communication.

What You’ll Do:

Support the Office Manager with daily operations and workflow management including the below:

  • Response to incoming calls, emails, and inquiries
  • Gather project details and input accurate information
  • Assist in preparing and sending quotes and setting up complete job files
  • Ensure each project is fully prepared before scheduling
  • Coordinate project schedules between customers, crews, and materials
  • Maintain and manage the production calendar
  • Keep a constant pulse on all active and upcoming projects, tracking status, next steps, and any adjustments needed
  • Proactively identify gaps, delays, or issues and help resolve them quickly
  • Order and coordinate delivery of materials with suppliers
  • Communicate clearly and consistently with customers throughout their project
  • Support invoicing and ensure all job details are accurate and complete
  • Maintain organized and up-to-date records

Who We’re Looking For:

  • Highly organized with strong attention to detail
  • Excellent communication skills with a customer-first mindset
  • Proactive, reliable, and solution-oriented
  • Ability to manage multiple projects and priorities at once
  • Comfortable working across administrative and operational tasks
  • Proficient with computers, data entry and management
  • Experience in construction, home services, or project coordination is a plus but not required. We are willing to train the right person.

Pay & Perks:

  • Part-time position (up to 30 hours) with opportunity to grow
  • Competitive hourly wage based on experience

Pay: $20.00 – $30.00 per hour
