We are seeking a dynamic and highly organized Operations Assistant to join our team! Responsibilities
- Provide comprehensive executive administrative support, including calendar management, appointment scheduling, and email correspondence.
- Coordinate and assist with event planning activities for internal meetings, client events, or company functions.
- Manage office operations such as filing, data entry, record keeping, and maintaining organized digital and physical files.
- Handle phone etiquette with professionalism across multi-line phone systems and manage incoming calls efficiently.
- Support bookkeeping tasks using QuickBooks or similar accounting software; perform basic bookkeeping and financial record reconciliation.
- Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Conduct proofreading and transcription of documents to ensure accuracy and clarity before distribution.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools to prepare presentations, reports, and correspondence.
- Manage office supplies inventory and coordinate with vendors for procurement needs.
- Support front desk activities including greeting visitors, managing phone inquiries, and directing guests appropriately.
Experience
- Proven experience in office management or administrative roles with a focus on executive support or personal assistant duties.
- Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software is highly desirable.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Excellent typing speed combined with keen proofreading and transcription abilities.
- Familiarity with event planning logistics and project coordination processes.
- Exceptional customer service skills along with professional phone etiquette across multi-line systems.
- Previous clerical experience including filing, data entry, front desk operations, and office experience is preferred.
