ABOUT JOB

 

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to executives and management. The ideal candidate will excel in managing schedules, coordinating projects, and handling a variety of clerical tasks to ensure smooth daily operations. This role offers an opportunity to work in a dynamic environment where attention to detail, excellent communication skills, and technical proficiency are essential. The Personal Assistant will play a vital role in enhancing productivity and maintaining efficient office workflows.

Responsibilities

  • Manage and coordinate executive calendars, appointments, and meetings using Microsoft Outlook Calendar and Google Workspace.
  • Handle phone etiquette with multi-line phone systems, screen calls, and direct inquiries appropriately.
  • Assist with event planning and logistics for company functions or client meetings.
  • Perform data entry, filing, and document management to maintain organized records.
  • Prepare correspondence, reports, proofreading documents, and transcriptions as needed.
  • Support bookkeeping tasks using QuickBooks and handle basic bookkeeping responsibilities.
  • Facilitate project coordination across departments to meet deadlines and objectives.
  • Oversee office management duties including front desk responsibilities, filing systems, and office supplies inventory.
  • Utilize office software such as Microsoft Office Suite for document creation, presentations, and spreadsheets.
  • Support executive administrative needs with tasks like email management, travel arrangements, and personal errands when required.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with office experience preferred.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Excellent typing speed and proficiency in data entry, proofreading, transcription, and document formatting.
  • Demonstrated computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with DocuSign.
  • Experience with calendar management tools such as Microsoft Outlook Calendar and Google Calendar.
  • Knowledge of QuickBooks for bookkeeping tasks is highly desirable.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems.
  • Ability to handle confidential information discreetly with strong attention to detail.
  • Excellent communication skills both verbal and written; customer service experience is a plus.
  • Prior experience in office management or front desk operations is advantageous. This position offers an engaging work environment where your organizational talents will be valued and utilized daily to support executive functions effectively.

Job Type: Full-time

Pay: $35.00 – $41.00 per ho
