Key Responsibilities

Executive & Personal Assistant Support

  • Provide direct administrative and personal assistance to the Director and Sales Manager
  • Manage calendars, appointments, meetings, travel arrangements, and schedules.
  • Coordinate Zoom/ Teams meetings and internal meetings, asset in the preparation of agendas, and distribute action items.
  • Follow up on outstanding tasks and projects.
  • Prepare reports, presentations, business correspondence, and meeting documentation.
  • Maintain confidentiality of business and personnel information.
  • Assist with ad hoc projects, research, and operational initiatives as required.
  • Coordinate communication between departments, clients, suppliers, and external partners.
  • Manage priority tasks and ensure deadlines are met
  • Provide administrative support to sales operations.

Client & Stakeholder Management

  • Build and maintain strong relationships with clients, suppliers, and business partners.
  • Ensure professional and timely communication with all stakeholders.
  • Coordinate approvals, project updates, and client reporting.
  • Escalate issues proactively and work towards timely resolution.
  • Support Senior management  in maintaining key client relationships.

Skills & Experience

Essential

  • Previous experience in executive assistant, sales administration, or business support roles.
  • Strong organisational and project coordination skills.
  • Excellent written and verbal communication.
  • Advanced Microsoft Office, Excel, and Google Workspace skills.
  • Experience with Asana, CRM, and project management systems.
  • Ability to manage multiple priorities and work autonomously.
  • Strong attention to detail and problem-solving capability.
