ABOUT JOB
The ideal Office Assistant will be , exceptionally bright, able to multitask and highly motivated with a history of performing customer service and support at a high level. The Office Assistant will be responsible for performing a wide variety of office duties in direct support of our Operations Manager and the general operations of the Council.
Primary Responsibilities
- Support our mission through a variety of administrative, research, and communications functions
- Provide full administrative support to the Council and Training Fund, as needed
- Manage office systems and provide day-to-day support to Local union and Training Fund
- Provide a welcoming, helpful customer service demeanor, often managing complex relations with members and contractors.
- Deliver accurate and thoughtful assistance striving toward a positive interaction
- Receive and screen phone calls and emails from members and contractors, responding appropriately or forwarding them to the appropriate staff, ensuring a timely response.
- Provide over-the-phone, customer service and support including accepting dues payments
- Assist members and contractors with dispatching and updating job site info
- Assist with data entry, data verification and filing
- Lead/direct work with other support staff, as needed
- Assist with bookkeeping and accounting
- Perform other duties as assigned or requested
Job Specific Skills:
- High School diploma or GED, Bachelor’s degree preferred but not required
- Basic computer skills
- Extensive experience with Microsoft Office Software (Word, Outlook, Excel, PowerPoint, etc.) and email applications
- Ability to multi-task, and handle urgent interruptions with high level of professionalism
- Excellent verbal and written communication skills
- Excellent in conducting Internet research
- Outstanding work organization and time management skills
- Ability to follow instructions and complete tasks accordingly
- A high-level of integrity, confidentiality and attention to detail
- Reliable and Punctual
- Types 50+ wpm
Special Skills (Desired):
- In-depth knowledge of Excel including index match, vlookup, arithmetic functions, countif, sumif.
- Experience in union and community organizing
- Ability to proofread work for errors and compose correspondence
- Ability to independently complete assignments and work under pressure to meet tight schedules
- Ability to prioritize work, be detail oriented and meet deadlines
- Ability to perform in a fast-paced environment and handle multiple tasks simultaneously be self-motivated with strong organizational skills
- Be a trust builder, have respect, compassion and empathy for all
- Ability to grasp concepts and functionality of specific software and programs
HOURS:
This is a full-time position that is expected to work 40 hours per week, 8am to 5pm, Monday through Friday. Occasional evening and weekend work may be required.
Job Type: Full-time
Pay: $23.00 – $25.00 per hour
